Invoice Template for Handyman Businesses: Templates, Guides, and How-To
Free handyman invoice template plus a step-by-step guide to billing labor and materials, deposits, late fees, sales tax on repair labor, and recordkeeping.
A clear handyman invoice shows the customer what they paid for, creates a record if questions come up, and helps you collect payment sooner. This page gives you the fields to include, a copy-ready template, a step-by-step workflow, and the trade-specific tax and payment rules most generic invoice guides skip.
What should a handyman invoice template include?
Every handyman invoice should carry these ten fields. If any are missing, expect slower payment and more back-and-forth.
- Your business name and contact info: legal name or DBA, phone, email, and mailing address.
- Client name and jobsite address: the jobsite address matters for sales tax sourcing in some states.
- Invoice number: sequential (INV-0001, INV-0002) so you and your accountant can find it later.
- Invoice date and service date: both. The service date is what the IRS and your customer care about; the invoice date starts the payment clock.
- Line items for labor: task description, hours, and hourly rate. Not just "labor."
- Line items for materials: each item, quantity, and unit price. Attach or reference receipts.
- Subtotal.
- Sales tax: where applicable in your state (more on this below).
- Total due and payment terms: Net 15, Net 30, or due on receipt.
- License number and general liability insurance info: include it where state or local rules require it, and consider adding it elsewhere so customers can verify your business details.
Line-item detail is not a formality. When a customer sees "3.5 hrs @ $75 = $262.50" and "1x Kohler flush valve kit = $28.42," the invoice reads as a record, not a bill to argue with. Bundled "labor: $400" lines are the ones that get disputed.
Sales tax on repair labor: it depends on your state
Sales tax on repair and installation labor is set at the state level, not federally. That means the same $500 faucet-swap job can be taxable in one state and untaxed in another.
- Texas taxes labor to repair residential real property in most cases; you charge sales tax on labor and materials.
- California generally does not tax repair labor as a service, though materials sold to the customer can be taxable depending on how the job is structured.
- New York taxes most repair and maintenance services to real property.
Check your state's department of revenue before pricing a job. The rule for your county or city may add local tax on top.
Where can I download a free handyman invoice template?
Use whichever format matches how you work.
- PDF: best for the finished invoice you send the customer. Locked-in, easy to email or text, prints cleanly.
- Excel or Google Sheets: best while you're building the invoice. Formulas total labor, materials, tax, and grand total automatically, so a typo doesn't cost you $40.
- Word or Google Docs: best if you send mostly flat-rate jobs and don't need auto-calculation.
- Mobile invoicing app: best when you want to send the invoice from the driveway before you leave the jobsite. Novo's mobile app lets you build the invoice, email it, and accept ACH or card on the spot.
Customize every template with your logo, license number, and insurance carrier and policy number so you're not editing that boilerplate on every job.

Thank you for the work, [Your Name], [Phone]Paste this block into ChatGPT or Claude and ask it to turn it into a working file. A prompt like "Turn this handyman invoice template into a Google Sheet with formulas that auto-calculate the subtotal, an 8.25% sales tax line I can edit, and the total due. Keep the labor and materials sections editable." will get you back a spreadsheet you can use on your next job. You can ask for the same thing as an Excel workbook, a fillable PDF, or a Word document.
How to invoice as a handyman, step by step
Step 1: Confirm scope and price in writing before you start. Even a text message saying "Kitchen faucet install + shutoff valves, materials at cost + 20%, $75/hr labor, estimated $450–$550" counts as a paper trail. A formal estimate or work order is better.
Step 2: Track hours and materials as you work. Snap a photo of every receipt on your phone. Write the task and hours down before you leave the jobsite; you will not remember accurately three days later.
Step 3: Send the invoice the same day or the next day. Sending sooner keeps the details fresh for both sides and shortens the window in which small questions turn into disputes.
Step 4: Follow up on unpaid invoices at 7, 14, and 30 days. Short, direct messages: "Hi [Name], just following up on invoice INV-0042 for $493.51 from [date]. Let me know if you have any questions, otherwise ACH or card at the link works." No apologies, no long explanations.
Step 5: Mark the invoice paid and confirm the deposit hit your business account. With Novo, invoice payments land in the same account and app you sent the invoice from, so you can see the payment against the invoice without switching tools.
How do handymen charge for labor vs. materials on an invoice?
Separate labor and materials into distinct line items. A single "labor" line with no hours and no task description is the fastest way to a disputed invoice.
Labor. Either hourly (with hours × rate showing) or flat-rate per task ("Install kitchen faucet: $225"). Pick one convention per invoice; don't mix.
Materials. List each item, quantity, and unit price. Most handymen mark materials up 15–25% to cover the time spent sourcing, hauling, and returning what doesn't fit. You can either show the markup as a separate line ("Materials markup: 20%") or bake it into the unit price. Whichever you choose, be consistent across jobs so a repeat customer doesn't notice the math shift.
Trip or service call fee. A flat $50–$100 fee for showing up covers windshield time and small-job overhead. Charge it on jobs under a certain threshold (say, anything under $300 of labor), or roll it into your first hour on larger jobs. State the policy on your estimate so it's not a surprise on the invoice.

Change orders. If the scope changes mid-job, confirm the new work and new price in writing before you do it. For example, get written approval if the customer asks you to also swap the disposal or you find rotten subfloor under the toilet. A two-line text message is enough: "Adding disposal swap, +$120 labor + parts at cost + 20%. OK to proceed?" Screenshot the yes and attach it to the invoice.
What payment methods should a handyman accept?
The four payment methods most handymen see, ranked by how they actually affect your bottom line:
[ACH bank transfer](/business-payments/ach). Nacha says standard ACH transfers typically settle in 1–2 business days. Novo offers free ACH transfers on business checking, and processing fees are low or zero at many other providers. Best default for invoices over $200.
Card (credit or debit). Instant for the customer, but card fees vary by processor and card type. Many small-business card payments include a percentage fee plus a fixed transaction fee, so on a $500 invoice you can easily lose $10–$15. Check your processor's current pricing before deciding whether to accept cards or pass a surcharge through where state law allows it.
Check. Free but slow. You have to deposit it, and it can bounce.
Cash. No fees, immediate. If a large share of your work pays in cash, know that not every business banking option accepts cash deposits. Novo does not accept cash deposits, so cash-heavy handymen should plan for a cash-friendly bank or another documented way to convert cash payments before choosing their banking setup.
Payment terms and deposits
For small residential jobs, Net 15 can be easier to manage than Net 30 because homeowners usually are not running an accounts-payable cycle. A shorter clock keeps the invoice top-of-mind.
Handymen commonly request a 25–50% deposit on jobs over $500 or when significant materials must be purchased upfront. It protects your cash flow if the customer changes their mind after you've bought a $400 vanity, and it helps confirm the customer is ready to move forward.
Novo for handyman invoicing
Novo business checking has no monthly fees, no minimum balance requirements, free ACH transfers, and free unlimited invoicing. Card acceptance on invoices is available; standard card processing fees may apply. You send the invoice from the same app that holds the money, so paid invoices show up in your Novo balance without switching to a separate tool.
Novo pairs a business checking account with built-in invoicing. Many field-service software products sell invoicing as part of a paid monthly subscription instead. Compare specific competitor pricing pages before you decide what fits your business.
The honest tradeoff: Novo does not accept cash deposits. If more than a small share of your jobs pay in cash, plan for that.
What tax and recordkeeping rules apply to handyman invoices?
Keep records for at least 3 years. The IRS advises keeping business records, including invoices, for at least 3 years from the date the return was filed. Some situations (understatements of income, unfiled returns) extend that period, so 3 years is a floor, not a ceiling.
Form 1099-K if you accept card or app payments. Third-party settlement organizations, including card processors and business payment apps like PayPal, Venmo for business, and Cash App for business, must issue Form 1099-K when payments to you meet the IRS reporting threshold. The threshold has changed across recent tax years, so check the current IRS figure before you file. The income is taxable whether or not you get a 1099-K.
Schedule C for sole proprietors. If you operate as a sole proprietor, or as a single-member LLC that has not elected corporate tax treatment, you generally report handyman income and expenses on Schedule C of your Form 1040. A separate business bank account makes Schedule C easier because it keeps business deposits and expenses separate from personal transactions, though you still need to categorize income and confirm which expenses are deductible.
Late fee policy. State the late fee on every invoice; 1.5% per month (18% annualized) on unpaid balances is a common convention. State the late fee on the estimate, contract, or invoice before payment is due, and check your state's limits on late fees before charging one. A fee added after the fact rarely holds up.
What handyman invoicing mistakes should I avoid?
- Vague labor lines. "Labor: $400" with no hours or task description. Break it out.
- Missing license or insurance info. Some states and cities require it on the invoice for handyman or contractor work above a dollar threshold. Where it's not required, listing it still lets customers verify your business.
- No late fee policy on the invoice. Without a stated late fee policy, you have less basis for adding a fee when an invoice remains unpaid.
- Mixing personal and business payments in one account. It muddles your Schedule C, and it makes you look unprofessional when a customer sees "Venmo to John's personal account" on a $2,000 job.
- Waiting to send the invoice. Send a clear invoice the same day, even if you need to correct a small detail later.
What questions do handymen ask about invoices?
Do handymen need to charge sales tax on invoices?
Yes, in states that tax repair labor; no, in states that don't. Texas taxes repair labor on residential real property. California generally does not tax repair labor. New York taxes most repair services to real property. Check your state's department of revenue for the current rule and any local add-ons before pricing a job.
What's a fair deposit to request before starting a job?
25% to 50% of the estimated total on jobs over $500, or on any job where you're buying significant materials upfront. For small jobs under $500 where you're not fronting materials, no deposit is normal.
How do I invoice for a job I finished when the customer isn't home?
Send the invoice electronically the same day, and attach a few photos of the completed work. Add a short note: "Job done, cleaned up, locked the side gate. Photos attached. Invoice with ACH and card link below." That closes the loop and starts the payment clock.
Can I send an invoice from my phone on the jobsite?
Yes. Novo's mobile app lets you build the invoice, email it to the customer, and accept ACH or card payment before you leave the driveway.
How long should I keep handyman invoices?
At least 3 years from the date the tax return was filed, per IRS guidance. Keep digital copies (a scan or PDF) rather than paper. They're searchable and don't fade.
What payment terms should I put on a handyman invoice?
Net 15 for most residential jobs. Due on receipt for very small jobs paid on the spot. Net 30 for commercial or property-management clients who require it. Whichever you pick, state it on the invoice along with the late fee policy.
